## Marketing Automation Migration

OTime to complete: 30 hours over 6 weeks

This project will walk you through the entire process of moving your marketing from a marketing automation platform onto HubSpot. This will be complimentary to going through your standard HubSpot onboarding process to get the basics of your HubSpot account set up.

This can seem like a daunting undertaking, but we'll break it down into manageble pieces. From planning and auditing, all the way to taking your new HubSpot portal live, we'll make sure you have all the resources you need to navigate this transition.

Step 1: Perform an audit of your existing platform

 Learn how

### To-do

1. Review existing assets in your current system. Each asset should be looked at and determined if there is value bringing it over to HubSpot. For example, if a landing page hasn't had a visit or submission in the last 12 months, it can likely be left behind. Beginning with HubSpot is a fresh start, so get organized and purge unused assets.
You should review and catalog the following categories:
     1. Forms
     2. Landing Pages
     3. Ongoing/Automated emails
     4. Workflows ("Programs")
     5. Digital Assets (i.e. Images, white papers, etc)
2. Take a look at all the lists/segments that you use for email or reporting in your current system. If they are based on one of your general fields/data points (e.g. State = Massachusetts) then you will be able to easily recreate this in HubSpot at any point. However if it is based on some data that is specific to your current platform (e.g. opened an email sent from that platform, or submitted a form created in that platform) then you should export each of these lists that you want to save as a CSV so that you can upload it to HubSpot to carry it over. When saving your CSV files, use a naming convention so that the segments are easily identifiable.
3. Review any current integrations with your Marketing Automation platform and determine if there is an equivalent integration with HubSpot. Also, review the list of integrations HubSpot has and determine if you can now integrate with a system you use today but wasn't compatible with your existing platform.
4. Document your existing lead scoring system and begin mapping it to HubSpot's lead scoring tool (navigate [here](https://app.hubspot.com/l/contacts-settings), then click Custom Lead Scoring). Note that our system may differ from your current platform's, so focus on recreating the *goals *of the scoring set, rather than each individual rule exactly. If you'd like to deep-dive into lead scoring, check out our project [here](https://academy.hubspot.com/projects/customer-projects-lead-scoring).

### Pro Tip

You can move any individual *field *of data from your current system into HubSpot. If it does not exist in your CRM, then you should [create it as a custom property](https://help.hubspot.com/articles/KCS_Article/Contacts/How-can-I-create-a-custom-contact-property) in HubSpot before you import the data.
You won't be able to import the full history of contacts from your existing system (e.g. individual forms they filled out, pages they viewed, emails they opened). Typically customers will decide which segments they need to preserve for email lists or reporting, and export those segments as individual lists from their system.

Step 2: Setup your Salesforce Integration

 Learn how

### To-do

1. If you want to learn more about the integation prior to installing it, check out our [short video](https://academy.hubspot.com/salesforce-pre-install-videos-training)
2. The first step to integrating with Salesforce is installing the actual integation package. You'll need be using either HubSpot Professional or Enterprise, be using either Salesforce Professional, Enterprise or Unlimited (not a trial account), have top-level Salesforce administrator privileges (if on Salesforce Professional Edition), have top-level Salesforce administrator privileges OR full object-level and full-field-level security permissions (if on Salesforce Enterprise or Unlimited Edition). The integration includes a step-by-step setup wizard that will walk you through integrating HubSpot with Salesforce. Link to the Salesforce setup user guide: [http://knowledge.hubspot.com/salesforce-integration-user-guide/how-to-set-up-the-salesforce-integration-with-hubspot](http://knowledge.hubspot.com/salesforce-integration-user-guide/how-to-set-up-the-salesforce-integration-with-hubspot)
3. Once HubSpot has been integrated with Salesforce, you can edit the integration settings to change the way the integration works. You'll want to go through each of the options on the settings screen to be sure that the integration will behave in a way that works with your organization's use of Salesforce. To find the settings, and get a brief explanation of what each setting can do, reference this knowledge article:  [http://knowledge.hubspot.com/salesforce-integration-user-guide/how-to-adjust-your-salesforce-integration-settings](http://knowledge.hubspot.com/salesforce-integration-user-guide/how-to-adjust-your-salesforce-integration-settings)
4. Map Fields
Your fields will have already been auto-magically mapped once you install the integration, but now you can customize them. Choose when HubSpot is allowed to write to Salesforce on a field-by-field basis. Learn more here: [http://knowledge.hubspot.com/salesforce-integration-user-guide/how-to-adjust-your-salesforce-integration-settings](http://knowledge.hubspot.com/salesforce-integration-user-guide/how-to-adjust-your-salesforce-integration-settings)
5. Now that the integration is configured, it's a good time to import your contacts if you're ready. You can import all records directly from Salesforce, or by campaign. Learn more here: [http://knowledge.hubspot.com/salesforce-integration-user-guide/how-to-import-leads-and-contacts-from-salesforce](http://knowledge.hubspot.com/salesforce-integration-user-guide/how-to-import-leads-and-contacts-from-salesforce)

If you're not using Salesforce as your CRM, that's cool too! There are many different ways you can integrate your CRM with your HubSpot marketing platform. Below you'll find links to a third party, and several resources of how to manage moving data between your CRM and HubSpot.

- Bedrock Data - check them out here: [http://www.bedrockdata.com](http://www.bedrockdata.com/)
- Scribe - check the out here: [http://www.scribesoft.com/hubspot](http://www.scribesoft.com/hubspot)
- HubSpot Partner If you don't have the technical resources to impliment a CRM integration, HubSpot has a handy list of certified partners who are up to the task! Find them here: [Partner Directory](https://app.hubspot.com/partner-directory)
- Developer Docs HubSpot has several open APIs that can be used to build an integration with a CRM! Find them here: [Developer Docs](https://developers.hubspot.com/)
- Manually Import If you aren't ready to integrate just yet, you can always manually import your contacts. [Here's how!](http://knowledge.hubspot.com/getting-started-with-hubspot/how-to-import-a-list-of-leads-into-your-account)
- Don't have a CRM, or looking for a fresh start? Check out [HubSpot's CRM](https://www.hubspot.com/crm) (hint: it's free)

### Pro Tip

HubSpot offers the ability to sync with a [Salesforce Sandbox environment](https://help.hubspot.com/articles/KCS_Article/Salesforce/How-do-I-connect-my-Salesforce-sandbox-to-HubSpot). This allows you to test how the integration works before effecting anything in your current Salesforce environment!

Step 3: Migrate your website assets

 Learn how

### To-do

This will include images, documents (whitepapers, eBooks, etc.), font files, etc.

1. Download your existing assets to your desktop in a ZIP file or other format
2. Upload your assets to HubSpot's File Manager. You can access your File Manager [here](https://app.hubspot.com/l/file-manager), and read our full user guide [here](http://knowledge.hubspot.com/design-manager-user-guide/how-to-upload-your-site-assets-to-file-manager)

### Example

### Pro Tip

You can drag-and-drop multiple files from your desktop into HubSpot. No need to go one at a time!

Step 4: Recreate your forms

 Learn how

### To-do

1. Ensure that you've completed the CRM integration in Step 2 and now have all the custom fields you need for your form fields
2. Create a form in HubSpot for each of the forms you identified in your audit in Step 2. Check out our [user guide on the forms tool](http://knowledge.hubspot.com/forms-user-guide) if you have any questions. These forms will be used both on HubSpot landing pages and embedded on your website.

### Pro Tip

HubSpot forms can be re-used on multiple landing pages, so this may be an opportunity to pare down the number of forms you have in your library.

Step 5: Migrate your Landing Pages

 Learn how

### To-do

1. Before you dive in to creating your pages on Hubspot, review your landing page templates. With your purchase of HubSpot, you received a style migration that included our standard 5 Landing Page and 5 Site Page templates. It's important that you check these templates to make sure we've correctly matched the style of your original website. [Learn how to review your template setup.](http://knowledge.hubspot.com/getting-started-with-hubspot/how-to-review-your-hubspot-template-setup)
2. (Optional) If you have any custom landing page templates, now is the time to create them prior to taking your website live to ensure a seamless transition onto the HubSpot platform, or check out the [Template Marketplace](https://app.hubspot.com/l/templates) for a fresh start.
3. Now that your templates are in order, it's time to build out some HubSpot Landing Pages to replace your current ones.
   You should:
   - Choose the appropriate template
   - Move over your copy/headlines
   - Add any images
   - Choose the appropriate form
   - Make sure that if it is a download, you are sending the file in a follow-up email and/or thank you page

Here's our [Landing Pages User Guide](http://knowledge.hubspot.com/landing-page-user-guide) to get you started.

### Pro Tip

You should create your landing pages with the same URLs as your current pages. This way when you take your pages live in Step 9, the URLs will all stay the same from your current platform to HubSpot.

 Need some help getting started?
[Watch our Landing Page training videos!](https://academy.hubspot.com/landing-pages-videos-training)

Step 6: Migrate your emails

 Learn how

### To-do

1. First, you should setup your Email Templates. Decide whether you'd like to recreate your existing email templates, or start fresh with some new ones. If you'd like to rebuild your current design, here's our [guide on building email templates](http://knowledge.hubspot.com/email-user-guide/how-to-create-a-custom-email-template). You can also use our [HubSpot templates](https://help.hubspot.com/articles/KCS_Article/Email/How-can-I-create-an-email-using-a-HubSpot-template), or check out the [Template Marketplace.](https://app.hubspot.com/l/templates)
2. Now with your templates squared away, it's time to create the emails themselves. If you have automated emails that are triggered by certain actions, and they weren't covered by your landing page follow-up emails (drip campaigns, for example), now is the time to create them. Using your email templates, create any emails that you send out on an ongoing basis. Don't worry about timing, etc. at this point, we're just creating the emails themselves. [Email User Guide.](http://knowledge.hubspot.com/email-user-guide)

### Pro Tip

Using the HubSpot Template Builder, rather than building templates from scratch in HTML, can result in responsive emails that look great in every client.

 Need some help getting started?
[Watch the email training videos!](https://app.hubspot.com/academy/l/lessons/46/65)

Step 7: Build out your automation

 Learn how

### To-do

1. Build a workflow for each of the automated processes you cataloged in Step 1. The Workflows tool is HubSpot's system to trigger, schedule and send automated email (among other things). You can trigger a Workflow to start after a form submission, a page view, a contact property, or just about anything else you can dream of. [Learn more about how to create Workflows.](http://knowledge.hubspot.com/workflows-user-guide)

### Pro Tip

Often other systems use a complex series of automation programs to handle the CRM sync. These can usually be replaced by HubSpot's out-of-the-box Salesforce integration, plus a review of the integration settings.

[Watch the Automation training videos!](https://app.hubspot.com/academy/l/lessons/314/1717)

Step 8: Go Live on HubSpot!

 Learn how

### To-do

1. If you didn't turn on your Salesforce or other CRM integration when you initially set it up in Step 2, now is the time!
2. Make sure all your new HubSpot content is published. This includes Landing Pages, Emails, and Workflows. Go through the draft folder for each of those content types and publish everything you need.
3. Connect the subdomains you'll be using to HubSpot. To do this:

     1. Add your subdomain(s) to the Domain Manager
You can navigate to this area by clicking [Settings > Domains and URLs.](https://app.hubspot.com/l/domain_settings) Then all you have to do is add your subdomain (i.e. info.yourcompany.com) by clicking "Connect a domain". Follow the steps to connect your domain, configure your DNS, and take the subdomain live.
     2. Setup any URL Redirects
If you are using the same subdomain for landing pages as you had been with your current platform, and you kept the URLs of the pages the same, then you should be all set in the redirect department! However if you changed some of the page URLs, you'll want to set up redirects so that any live links still function. [Learn how here.](http://knowledge.hubspot.com/site-pages-user-guide/how-to-use-the-url-mapping-tool-to-redirect-pages)
     3. While you're updating your DNS, you should also set up your email sending domain. You can follow the instructions in [this article](http://knowledge.hubspot.com/email-user-guide/how-to-set-up-your-email-sending-domains) to guide you through the process.
4. Now that you've switched your DNS over, any links to landing pages from your site are now running through HubSpot. The last step to opening up your lead flood gates is to swap out your embedded forms for HubSpot Forms. [Here's an article](https://knowledge.hubspot.com/articles/kcs_article/forms/how-can-i-share-a-hubspot-form-if-im-using-an-external-site) to explain exactly how to do that!

### Pro Tip

If you end up needing to have your current platform AND HubSpot integrated with your CRM for some period of time, that's actually no problem. Any leads your current platform adds to the CRM will also flow into HubSpot so long as you have the bi-directional options turned on.
